Project Administration Officer - MDH

 Management and Development for Health (MDH) is a non for profit organization in
Tanzania contributing to address public health priorities. MDH works with the Ministry of Health, Community Development, Gender, Elderly and Children; as well as academic and non-academic institutions to address the problems of Tuberculosis, Malaria, HIV/AIDS, Nutrition, Maternal and Child Health and to undertake initiatives to advance public health research, education, and services for improving the lives of people. MDH (Sub recipient) in collaboration with Deloitte Consulting Limited (Prime) through USAID BORESHA AFYA SOUTHERN ZONE PROGRAM seeks to recruit a qualified individual to fill the position of Project Administration Officer to be based in Dar Es Salaam.

Position: Project Administration Officer

Location: Dar es Salaam Office

Reports to: Senior Project Accountant

Job summary
Project Administration officer will be working under the direct supervision of Boresha Afya Senior Project Accountant. Under the directives of senior projects accountant, the Administration Officer will be responsible with providing critical support and guidance to the pool of project staff at regional offices primarily on administrative and as well as general finance matters on day to day basis.

 Facilitating and managing hotel booking for field officers during their travels away from their work station
 Following up with hotel vendors to ensure that, all invoices are available so that payments to be done on time
 Provide assistance in arranging and filing various documents to be submitted to Prime
 Acting as a key liaison with field offices in timely collection of various documents from field offices, compiling them in a manner that facilitates timely payment.
 Managing the payment complaints register by making following up of failed mobile money transactions and reporting progress to the senior project accountant.
 Tracking the flow of documents/requests in approval process and providing progress feedback to officers in “no internet access zones”. Also submit them to finance department for payment
 Organize a filing system for important and confidential company documents
 Coordinate all logistics and preparations of trainings/meetings/events.
 Managing admin office tasks such as taking messages, responding emails, filing and other administrative office tasks.
 Ensure adherence to organization’s Standard Operating Procedures (SOPs), and Tanzania legislation, with comprehensive internal policies and procedures.



 Perform any other task/ duties delegated by supervisor.

NEEDED QUALIFICATIONS:
 Advanced Diploma or University degree in Business, Finance, Administration
 At least 2 years’ experience in accounting job.
 Professional qualification would be an added advantage

KNOWLEDGE, SKILLS AND ABILITIES
The Incumbent must have proficient knowledge in the following areas:
 Knowledge and experience on Administration tasks like, supporting the Projects in a variety of ways including bookkeeping, communications, meetings scheduling, secretarial services.
 Ability to maintain a high level of accuracy in preparing Administration reports.
 Ability to maintain confidentiality concerning financial and employees/vendors files.
 Excellent interpersonal skills, Administration and bookkeeping skills, attention to details.
 Good general computer literacy including skillful & experience in Microsoft Office programs.
 Ability to manage time and observing deadlines
 Honest and trustworthy, respectful and depict sound work ethics.
