Description

 

The Police Training Assistance Project (PTAP) is a three year project in Ukraine that commenced in October 2016 with funding from Global Affairs Canada (GAC) through its Peace and Stabilization Operations Program (PSOP). The project aims to provide advisory services and training to help strengthen the new National Police of Ukraine (NPU) and support a national police academy system that will enable the merit-based professional development of a national police service that is gender-sensitive, community-oriented, draws on committed resources of the Government of Ukraine (GOU) and integrates international standards and best practices.
A Project Administrator will be hired by early January 2017and will serve as a core member of the project team based in Kyiv, Ukraine.  

Indicative Duties and Responsibilities
As part of this assignment, the Project Administrator, will be responsible for:
1. managing project information requests, including: 
§ answering direct phone and email requests
§ conducing routine/general correspondence and project mailings
§ translating small documents and correspondence
§ responding to the needs of the partner personnel for information and assistance
2. managing project documentation and filing systems, including:
§ updating and maintaining appropriate filing systems (paper and electronic) for PTAP
§ updating and maintaining appropriate databases related to PTAP
3. managing office equipment and office supplies, including:
§ ensuring the office is functional on a daily basis
§ arranging repairs for office equipment as needed
§ ordering and maintaining an inventory of office supplies.
§ ordering furniture and equipment
§ keeping procurement log up to date
§ preparing handover certificates
4. providing general logistical support for project events/activities, including:
§ overseeing the preparation of materials, including handouts and presentations for project events
§ making all logistical arrangements for international project staff, including visas, accommodation and in-country travel
§ making all arrangements for project events, including: booking venues for events, catering, transportation, interpretation
§ preparing briefing kits for participants
§ attending events and meetings as appropriate and taking notes as required
5. assisting with financial administration support, including:
§ photocopying and scanning financial documents
§ translating necessary receipts, invoices and other financial documents into English
6. managing procurement files, including:
§ creating internal list of materials for approval (LMFA)
§ maintaining project procurement log
§ obtaining quotes
§ purchasing equipment
7. general administration, including: 
§ scheduling and arranging meetings
§ translating or arrange the translation of documents
§ performing other administrative duties and tasks as assigned by the Canadian Field Director
The Project Administrator for PTAP will work closely with the Project Finance Manager and report to the Canadian Field Director.
