The Catholic University of Health and Allied Sciences (CUHAS), owned by the Tanzania Episcopal Conference (TEC), provides training for over 1700 students. CUHAS is currently running programmes in Doctor of Philosophy (PhD), Master of Medicine (MMED), Master in Public Health (MPH), Master of Science in Paediatric Nursing, Doctor of Medicine (MD), Bachelor of Pharmacy (B.Pharm), Bachelor of Science in Nursing Education (B.Sc.NED), Bachelor of Science in Nursing (B.Sc.N), Bachelor of Medical Laboratory Sciences (BMLS), Diploma in Pharmaceutical Sciences (DPS), Diploma in Medical Laboratory Sciences (DMLS) and Diploma in Diagnostic Radiography (DDR). CUHAS is looking for highly qualified and motivated persons to fill the following positions;
1. CONVOCATION OFFICER:
Seeking a qualified and dedicated individual to fill a position as Convocation Officer. This is an Administrative position where the appointed personnel will be reporting directly to the Deputy Vice Chancellor-Planning Finance and Administration, the Executive
Committee of the Convocation and other relevant offices.
The Officer will work collaboratively with the members of the University community to run the Convocation office and establish a Students’ Centre. He/she will also coordinate information and activities for alumni, prospective graduates and academic departments. This position will also be expected to work closely with the Admissions/Registrar Service Officers to maintain students and alumni databases.
i. Qualifications:
A holder of a Bachelor degree in Public Administration, Business Administration, Sociology, Marketing, Public Relations or its equivalent from a recognized University/ Institution.
ii. Duties and Responsibilities
Manage the Convocation Office
Planning recurring and special events, such as Convocations,
Gather and compile information required to prepare content for convocation website, program, and other promotional materials.
Identify, troubleshoot, and resolve problems in the preparation and conduct of convocation ceremonies.
Review convocation ceremonies and recommend activities to maximize stakeholder satisfaction which includes the benchmarking of ceremony outcomes against other universities.
Liaise with Academic Schools and Departments to collect student data and any other relevant information for the Convocation Office.
Plan and manage budgets related to the production and distribution of the convocation ceremonies.
Assist the preparation of meetings for the Convocation Executive Committee and other committees
Attend and participate in committee meetings.
Organize the mass distribution of printed copies of any relevant communications.
Assisting in preparation and planning of fundraising activities at the university
Assist in the preparation of the University Prospectus and Almanac (Academic calendar)
Liaising Closely with the Registrar’s and Admissions Office in maintaining an up to date students’ database
To maintain and update an alumni database
To communicate and maintain a healthy link with alumni on behalf of the University
Assist in establishing a CUHAS Students’ Centre for existing students’ services
Providing detailed information to students seeking services at the Students’ Centre;
Performing any other duties as assigned by the supervising officers

Experience in coordinating student activities at university level will be of added advantage.
2. PERSONAL SECRETARY III
i. Qualifications
Diploma in Secretarial studies from recognized Institutions
Proficiency in Computer skills.
Some prior working experience in secretarial or administrative work.
ii. Duties and Responsibilities
Handling Confidential and non-confidential matters
Keeping record of meeting proceedings.
Coordinating office requirements for respective departments/section
Receiving and guiding visitors.
Preparing meetings and record proceedings.
Making and receiving telephone calls and keeping appointments
Replying to routine correspondence and keep record of files used by his/her officer.
Ensuring that work done by the office’s subordinates is correct and neat
Ensuring that file copies and mails are in proper files
Ensuring that the Office is punctually opened, cleaned
Performing other related duties as may be assigned by one’s superiors.
iii. Additional skills and Competence
