Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. Context:
Under the general guidance of Chief of Mission (CoM), overall supervision of Chief Medical Officer and under the direct supervision of the Migration Health Officer (MHO), the incumbent will be responsible for accurate and timely data encoding and all other related activities such as data reconciliation, receipt of information, data processing, generating forms and reports:
Core Functions / Responsibilities:
Data Reconciliation:
1. Generate Hold-Alert list from Mimosa on a daily basis for the chief nurse to follow up.
2. Keep a record of quality control for X-ray reading discrepancy.
3. Run queries on mimosa to ensure accuracy in Data processing.
Receive information:
1. Receive XMIF photos for USRP cases and load to Mimosa
2. Receive new medical forms from all agencies and clients
Data processing:
3. Prepare monthly/quarterly/yearly reports and statistics for submission to DaProFo
(Data Processing & Follow Up)
4. Initialize and print blank USRAP forms.
5. Print blank US self-payer forms.
6. Prepare, generate and issue to the respective staff - lists for Counselling, laboratory
tests, physical examination, vaccinations, Mantoux, CXR and one list for the security
guards to ensure crowd control.
7. Prepare and print consent and vaccination forms on a daily basis during HA
8. Assist with taking photos of AUS and CAN clients
9. Load photos for US, CAN, AUS clients to mimosa
10. Update no-show cases on our daily lists and mimosa
11. Ensure timely return of all completed medical forms to the respective embassies,
high commissions and agencies including organizing courier delivery for medical
forms destined overseas.
12. Send USRP CXR films and draft DS forms to DaProFo for record keeping.
13. Prepare data on vaccinations given to Aus, Canada refuges and disseminate to the
Pre-departure and Medical administration staff.
Administration
14. Assist MHD users with problems resulting from Mimosa and other computer/printer
errors
15. Order and follow up on office stationary items, laundry items and computer/printer
accessories
16. Ensure all telecommunication gadgets, systems and connections at the clinic are up
and running in coordination with ITC department
17. Direct Supervision of the data entry clerks
18. And any other duties assigned.
Required Qualifications and Experience
Education&Experience
· Bachelor’s Degree in relative field with two years of work experienceor Secondary school diploma with four years of relevant work experience in medical institutions.
· Experience in IT/Information systems
- Experience working in an international humanitarian environment and in liaising with a variety of partners at all levels of the hierarchy.
- Computer Literacy & proficiency in Ms Windows XP and 2007, Ms Office 2007, 2010, Database and Ms Access.
- Accuracy in handling and reporting data.
- Delivers on set objectives in hardship situations
- Effectively coordinates actions with other implementing partners
- Maintains confidentiality and discretion in appropriate areas of work.
- Previous work experience with an international organization and NGOs dealing with refugees would be a strong advantage
Languages
Fluency in English and Kiswahili is required.

Only candidates residing in either the country of the duty station or from a location in a neighbouring country that is within commuting distance of the duty station will be considered. In all cases, a prerequisite for taking up the position is legal residency in the country of the duty station, or in the neighbouring country located within commuting distance, and work permit, as applicable.
