Purpose of the Position

Under the general supervision of the Chief of Sub-office, to provide range of Operational and Administrative support activities in the Sub Office of Mbeya / Kibondo.  


WORKING CONDITIONS


The post is Normal office-based. With occasional internal travel.

Key Duties and Responsibilities 
Analyze and maintains an overview of the work of the field office to ensure that timely operational support is provided in general and specialized areas.
Support management of office premises, establish routine vehicle maintenance and supervisions of office drivers
Maintenance of Field office Petty Cash account (record petty cash expenditures and replenishment), maintain office inventory, ensure timely requests for office supplies, collect profoma invoices from office vendors & other service providers, liaise with TCO to facilitate timely payments, support financial forecast for the sub-office
Assists in preparations of correspondence, special reports, evaluations and justifications, as required, on general administrative or specialized tasks that may be of a confidential nature within assigned area of responsibility.

Assist officers in aspects of accounts maintenance and budget control by providing reports on financial status, procedures, exchange rates, costs and expenditures, and potential funding problems
Arranges for and/or attends meetings on a day-to-day administrative matters, participates in discussions of new or revised procedures and practices, interprets and assess the impact of changes, and makes recommendations for follow-up action.
Participate in the One UN common services meetings and serve as focal point in the field office for the HACT quality assurance activities.

Impact of duties
-Work involves the full range of operational support activities. Duties involve in-depth treatment of activities in the functional area. The incumbent's work has a bearing on the entire Sub Office and work output and in providing Country Office operational oversight and technical support and operational activities
-To ensure that the office has and shares accurate, complete information, on-time follow up actions and updating of information, data and records so as to prevent any serious and adverse effect on operational oversight, technical support and performance of operational activities in country office.
-Under guidance of Chief Field Office, the incumbent shall establish standards, timeline and processes and procedures on attending different priorities and focus. To ensure that routine tasks are performed independently and reviewed upon completion for accuracy and adherence to instructions, standards and set deadlines.

Qualifications of Successful Candidate

-Completion of Secondary education; thorough knowledge of modern office operational procedures and standards; training in business and management field at certificate level.
-Six years of progressively experience in operational and/or management support.
-Excellent knowledge of the working language; good knowledge of a second language is an advantage.
