Job Summary
Finance and Admin Coordinator supports the Senior Project Manager and Finance and
operations manager in overseeing, providing guidance, and building the capacity of five
operational areas (Human Resources, Finance, Administration, Information Technology,
and Procurement and Logistics) at a Field Office level and to work with Operations
department Managers and other Field Operations Officers to ensure complete, consistent,
and synchronized implementation of operational policies and procedures.
Essential Duties and Responsibilities
Human Resources management coordination:
Facilitates administrative associate to ensure staff Leave records and ensure all
Leave is properly documented for Field Office staff.
Supports Dar HR Manager of HR concerns or issues requiring attention.
Provides guidance and expertise on completing Performance Evaluations and
assists HR Manager in ensuring all evaluations are submitted in a timely manner
and all Job Descriptions are updated on an annual basis.
Ensures all HR policies and procedures are properly adhered to by all staff at
project office.
Administration coordination:
Facilitates administration associate to ensure office managements activities are
carried out on timely basis
Oversees the use and maintenance of the office equipment including the
photocopier, fax, binding machine to ensure that they are in working order and
arrange for their repair and maintenance as needed.
Oversees proper running of utilities for the building such as electricity water and
proper function of telephone lines.
Facilitates administrative associate in managing travel arrangements for Field
Office staff as needed.
Information Technology:
Working closely with IT team in DAR, will ensure IT services are well managed and
coordinated at project office level including ensuring policies and procedures on
appropriate used of IT equipment is adhered to.
Procurement and Logistics management coordination:
Work in to facilitate the administrative associate on all aspects pf procurement and
logistics work practices at project office level. This includes but not limited to
procurement, inventory management, commodity management and vehicle fleet
management.
Finance Management Coordination:
Work to facilitate the finance associate to ensure all financial and accounting work
practices at project office level are properly planned, organized and reported. This
includes ensuring that sufficient cash flow, timely accounting and book-keeping
done, timely financial reporting submitted to DAR on weekly basis and ensuring all
financial policies are adhered at project office level.
Sub-Grants management Coordination
Work to facilitate the grants officers to ensure timely and appropriate subgrants
monitoring and reporting. Ensure the team is facilitated and coordinated to
undertake all sub-grants monitoring work practices.
Other Duties:
Assesses operational policies and procedures on an on-going basis to identify and
propose new policies or changes as needed, in addition to monitoring the
implementation of existing operational policies to ensure they are being properly
adhered to.
Ad hoc reports and provision of information as needed.
Maintains all operational documents and electronic files to ensure they are complete
and well-organized.
Any other relevant duties as assigned by the Program Manager or Finance and
operations manager

Finance Associate, Administrative associate, Grants officers, Operations assistants
Required Qualifications
Education & Experience
Advanced Diploma in Accounting, B.Com – Finance or its equivalent
3-5 years experience preferably in a non-profitable making organization.
Previous experience in five operational areas of HR, P&L, Finance, Admin, and IT.
Good interpersonal skills and ability to work as an effective member of a complex
team.
Fluent reading, writing, and speaking in both Kiswahili and English
Dedicated team player with ability to work as a part of a multidisciplinary team.

Job Summary
The Associate Project Manager has the main responsibility of promoting Elizabeth Glaser
Pediatric AIDS Foundation’s country strategic plan and provides specific programmatic
direction to facilitate the work of EGPAF in respective region(s). The APM supports the
senior project manager to oversee the implementation of activities in respective regions
and supports project management with a focus on leadership and management,
supervision of council project coordinators’ program activities. He/she has representation
of the organization at regional level as well as capacity building and transition of the
supported project(s) to local authorities. The APM ensures that the program delivers the
designed objectives and intended impact is realized.
Essential Duties and Responsibilities
Support the senior project manager in coordination and supervision of field based
technical staff and program implementation
Provide technical assistance to regional health management teams to build capacity
of councils to offer quality integrated HIV, TB, and FP services
Performance monitoring and reporting, including financial monitoring of subagreements
and programmatic monitoring and report writing
Required Qualifications
Graduate degree in health sciences
Master’s in Public Health or other relevant Master’s degree is an advantage
Knowledge, Skills & Abilities
At least 5 years of proven project management experience in the design,
administration, management and implementation of health programs
Understanding on local RCH, HIV, TB and FP integration context within health
facilities and community levels
Experience in Project Management.
Experience managing donor funded projects, with vast knowledge on US Rules and
Regulation.
Excellent oral and written communication skills (English and Kiswahili); strong
critical thinking, problem solving and attentiveness to detail.
