Introduction
Earth Sciences Institute of Shinyanga (ESIS) is a Private Technical Institute
licensed by the National Council for Technical Education of Tanzania (NACTE)
with Reg. No REG/EOS/041 to offer Exploration and Mining Geology and
Petroleum Geosciences courses. ESIS’s head office is located in Shinyanga
Municipality while some classes and dormitories are currently located within
the mining premises of Williamson Diamond Limited in Mwadui Shinyanga.

Job Title: Records Assistants

Department: Administration

Report to: Administrator

Main Purpose
Records assistant work under the supervision of the Administrator shall securely sort,
classify, maintain and archive different documents, files, records in a central filing
system.

Roles and Responsibilities:

The Record Assistant will be responsible in particular for:-
A records assistant provides assistance in managing ESIS records.
Ensure that all records are gathered, processed, indexed and well-kept
securely
Maintain ESIS security and confidentiality of information in
accordance with the ESIS Record Management and Public Information
Disclosure Policies.
Provide access to filed reports/documents through proper
authorization protocols
Establish, update and maintain a one point records registry hub
Establish and maintain an updated file tracking system
Accurately record, file and distribute all inbound and outbound
correspondences including mails, faxes, emails and internal
correspondence etc.
Assist in the training of internal users on records management
systems and related processes.
Assist in the formulation, implementation and review of record
management policies and the related documents to match with
Tanzania Information Related Laws and Policies.
Prepare and submit weekly and monthly record management reports
to the supervisor
Perform any other duties as may be assigned by his/her supervisor

Qualification and Experience:
We are looking for a certificate or Diploma candidates with background in
records management or related field
Multipurpose individual
Good Communication skills (written, verbal or even both)
Knowledge of database and computer basics at large
A sound and good track record of confidentiality on information
management
Able to work independently and under pressure and still meet deadlines
Ability to work long hours
Sound knowledge of customer service principles
An individual who is motivated to grow and advance his/her career
through reading and studying
The incumbent should be multitasks individual who can perform
secretarial tasks, such as typing, photocopying, receiving calls,
Should be not be above 30 years old.
